This Privacy Policy explains how West Valley Courier Solutions LLC ("WVC," "we," "us") collects, uses, and protects information when you visit our website, request a quote, or use our medical courier services. This page is maintained by WVC and is not a certification or audit report.
Information We Collect
Information you provide. Name, organization, phone number, email address, pickup and delivery addresses, and route details you submit through inquiry forms or operator account signup.
Operational records. Pickup and delivery timestamps, signatures, geolocation captured at custody events, vehicle telemetry, temperature logs, and incident reports created in the course of providing courier services.
Account data. Authentication credentials managed by our backend provider, session tokens, and settings you save in the operator console.
Automatic data. Basic request logs (IP address, user agent, timestamps) generated by our hosting and backend infrastructure.
We do not knowingly collect information from children under 13. We do not sell personal information.
Protected Health Information
In the course of medical specimen and document transport, WVC may handle Protected Health Information ("PHI") on behalf of covered entities under HIPAA. PHI is handled under separate Business Associate Agreements ("BAAs") and the practices described in our HIPAA Notice.
How We Use Information
- To dispatch, perform, and document courier assignments.
- To maintain chain-of-custody records and incident reporting required by clients and regulators.
- To bill clients, reconcile mileage and per-stop charges, and maintain financial records.
- To communicate with you about quotes, account activity, and service updates.
- To secure our systems, prevent fraud, and meet legal obligations.
How We Share Information
We share information only with:
- The client organization that contracted the route (e.g., laboratory, clinic, mobile phlebotomy group).
- Service providers that host our application, database, authentication, and email infrastructure, under written confidentiality terms.
- Law enforcement or regulators when required by law, valid legal process, or to protect rights and safety.
- A successor entity in connection with a merger, acquisition, or sale of assets, subject to equivalent privacy protections.
Retention
Operational records (chain of custody, incident reports, ledger entries) are retained for the period required by client agreements and applicable law, typically a minimum of six years for records that may contain PHI. Inquiry-form submissions are retained only as long as needed to respond and complete any resulting engagement.
Security
Application traffic is served over HTTPS. Authentication, database access, and role enforcement use industry-standard token-based authorization and row-level security in our backend. No system is perfectly secure; report suspected vulnerabilities to operations@wvc.solutions.
Your Choices and Rights
You may request access to, correction of, or deletion of personal information we hold about you by emailing operations@wvc.solutions. Some records (e.g., chain-of-custody logs and financial records) must be retained to meet legal and contractual obligations and cannot be deleted on request.
Arizona residents and individuals in other jurisdictions may have additional rights under applicable law. Submit requests to the email above and we will respond within the timeframe required by law.
Cookies
We use only the cookies and local-storage entries necessary to keep operators signed in to the console and to maintain session state. We do not use third-party advertising or cross-site tracking cookies.
Changes
We may update this Policy from time to time. Material changes will be reflected by updating the "Effective" date above. Continued use of the site after changes are posted constitutes acceptance.
