HIPAA-Aware Handling

Operator trained in PHI handling protocols. Sealed transport, restricted access, and no third-party handoff. Business Associate Agreements available for covered entities prior to service start.

Digital Chain of Custody

Every transfer recorded with manifest ID, dual signature capture, GPS coordinates, and UTC timestamp. Records retained per account and retrievable on request via the operations console.

Insured & Documented

Commercial auto and cargo coverage in force. Incident and condition reports issued in standardized clinical format within one business day of an event.

RECORD // 01

What every transfer record contains

  • Manifest ID (barcoded, matched to your LIS where supported)
  • Releasing-party name and signature, with role
  • Receiving-party name and signature, with role
  • GPS coordinates at pickup and at delivery
  • UTC timestamp at pickup, in transit, and delivery
  • Thermal envelope (ambient / refrigerated / frozen) and condition log
  • Tamper-evident seal ID and verification at handoff
  • Operator ID, vehicle ID, and route reference
INCIDENT // 02

If something goes wrong

Out-of-range thermal events, delayed deliveries, refused pickups, and chain-of-custody anomalies are flagged in the incident log the moment they occur. The account owner receives a written incident report within one business day, including timeline, contributing factors, and corrective action.

Vehicle-level events (accidents, breakdowns, weather holds) are handled the same way, with insurance information and continuity plan included in the report.

RETENTION // 03

Records retention

Chain-of-custody records are retained for the duration of the account plus the period required by Arizona and federal law for the type of shipment carried. Records are available to the account owner on request as PDF exports, per run or per period.

Deletion or destruction of records is performed only after the retention period and only with written authorization from the account owner.

REVIEW // 04

Audits and account reviews

Active accounts receive a quarterly operational review summarizing on-time performance, incident counts (if any), and thermal compliance. Account owners may request an ad-hoc audit export at any time.
